Outdoor Event Planning Guide

Plan an outdoor wedding, party or corporate event in Gauteng: tent space, seating, flooring, lighting, venue access, delivery and quote requirements.

Tent and furniture setup for an outdoor event

A practical guide to your outdoor event.

A useful outdoor event plan connects the guest list, venue and timetable before individual hire items are chosen. Whether you are organising a wedding, birthday, product launch or year-end function, decide how guests will use the space. A cocktail reception needs a different arrangement from seated dining. This guide helps you prepare an equipment enquiry; it does not replace coordination by your venue, caterer or event organiser.

1. Confirm guests and the usable venue space

Count seated and standing guests separately, then measure the clear area available for installation. Mark trees, buildings, pools and boundaries on a simple sketch. Photograph the ground and the route into the venue. The space required for anchors, movement and supplier access matters as well as the canopy dimensions. Ask the team to confirm a tent arrangement for the site rather than choosing purely from the advertised tent size.

2. Put the furniture into a simple layout

Draw the dining tables or lounge seating before booking. Leave room for guests to move, chairs to pull out and catering staff to reach tables. Add cocktail tables, a bar, a DJ position or presentation space if needed. A tent and furniture package is a starting point, but the actual arrangement must fit your event. Confirm available colours, quantities and furniture options for your date.

3. Discuss the surface and evening lighting

Tell the team about the ground surface and ask whether an additional covering is appropriate. Artificial grass is a decorative finish and does not automatically level a site. For evening events, discuss string lights, entrance visibility and the venue power supply. Share the position of sockets and restrictions on cable routing. Include these details with your equipment enquiry so they are considered alongside the tent and seating.

4. Agree setup, weather arrangements and collection

Confirm when suppliers may access the property and when the equipment must be removed. Ask the venue about installation rules, anchoring restrictions and vehicle access. Waterproof tent fabric does not make every open side enclosed, so discuss exposure and the venue’s weather arrangements before the event. Any required venue documents or specialist installation requirements should be raised early and confirmed for the specific booking.

5. Send a complete quote request

Send your date, venue address, guest count, event type and start and finish times. Attach a sketch, ground photographs and any reference images. List the tent, furniture, lighting and surface-covering requirements, then ask for availability and a clear quotation. Check equipment quantities, transport, setup, collection and any additional charges before confirming. Our WhatsApp enquiry form helps you prepare these details in one message.
